Below you can find a description of the fields, buttons, and settings of the data source creation page, and more.

Data Source Creating/Editing Page

Title Section

  • Name* - This field allows you to enter the name of your data source. The field is required.

  • Description - This field allows you to enter a description for your data source. These might be some hints you might need in the future. This field is optional.

Share Settings

  • Share settings - This option allows you to share the data source with users, groups, or project roles who have permissions to use the application.

  • Select users - This setting allows you to share your data source with individual users.

  • Select groups - This setting allows you to share your data source with groups you have within your instance.

  • Select project roles - This setting allows you to share your data source with users who have the appropriate project roles.

  • Allow re-sharing this data source - This setting allows users to share data source that was shared with them.

  • Save - This button applies all settings/changes.

  • Clear - This button erases all information you have entered.

  • Cancel - This button revokes applying settings/changes.

Other users who have access to Tableau Connector for Jira app might not get all data from this data source due to different Jira permissions.

Filter Issues Settings

  • All - This filter returns all data and it’s selected by default. Keep this option if you want to export all existing issues.

  • Select by JQL - This filter allows you to search for issues, projects, etc. in Jira and pinpoint exactly what you’re looking for. Select this option if you want to create your own request and filter data.

  • Basic - This filter allows you to set up standard fields filter.

  • Projects - This field allows you to filter issues by project. Select the projects you need.

  • Boards - This field allows you to filter issues by boards. Select the boards you need.

  • Issue Types - This field allows you to filter issues by their types (e.g. Epic, Story, Task, Bug, etc.)

  • Assignee users - This field allows you to filter issues by assignee users.

  • Reporter users - This field allows you to filter issues by reporter users.

  • From and To - These fields allow you to filter issues by selecting the specific period when the issues were updated.

  • Statuses - This field allows you to filter issues by their statuses (e.g. To Do, In Progress, Done, etc.)

If you apply the filter by Projects, you will get all the issues from this project. If you apply the filter by Boards, you will get all issues linked to the selected board via JQL. If you apply filters by Projects and Boards, you will get combined resulting data from both filters.

If you add filters by Issue Type or Statuses, your resulting data will be reduced to the selected types or/and statuses only.

The Issue Types and Statuses filters display only relevant fields to the selected project or board.

If you apply the filter by Projects, you can only select the Issues Type and Statuses that are included in the selected project.

If there are any custom fields, they will be shown in the Issue Custom Field section.

  • Issue limit - This field allows you to set a maximum number of issues to export. Leave the field blank for no limit.

If the Jira Administrator sets the issue limit, a user will see an alert message.

  • Export timeout - This field allows you to set export timeout per 1 table in minutes. Leave the field blank for no timeout.

  • Filter History By Field - This filter allows you to filter exported data by histories for a certain field.

Search and View Settings

Search Field

  • Search field - This search box simplifies the search for the required field you want to be displayed in the report.

The amount of found issue filters will be shown on each tab you have.

View Options

  • View options - This settings allows you to adjust the appearance of the issues. You can select what option to display: Show IDs or Show Types. The Show Names option is a default. All options can be selected at once.

    • Show IDs - This is how your fields will appear in Tableau.

Select Issue Settings

  • This section allows you to select or cancel selecting issues (tables) for exporting. This section displays standard Jira fields and all installed and configured plug-ins.

    • Jira Core - This part of the section displays a list of regular Jia Core fields and items.

    • Jira Software - This part of the section displays a list of regular Jira Software fields and items if Jira Software is licensed.

    • Service Management - This part of the section displays a list of regular Jira Service Desk fields and items if Service Management is licensed.

All the other fields are displayed depending on what plug-ins are installed on your instance.

Save and Preview Section

After creating and editing your data source, you can select one of the following options what to do with it.

  • Create - This option creates your new data source or updates if you edit an existing data source.

  • Preview -This option allows you to check the source name, source description, issue filters, and export items.

  • Preview ERD - This option allows you to view the Entity Relationship Diagram for your connector support data source, which is generated based on the checkboxes you have selected before.

  • Close - This option allows you to escape the data source creating page if you no longer want to do it.

This screenshot displays how the Preview button works. Once you select it, the pop-up window will appear with the view of your data source, so you can check if all changes are correct.

Jira Software Tables Filter

Boards

If Software Tables Filter by Projects or Boards is applied, filtration is carried out as follows:

  1. Loading Boards by filtered Projects.

  2. Loading Boards by filtered Boards.

  3. All unique Boards are combined into one list and unloaded page by page.

If Software Tables Filter is not applied, Boards are unloaded without filtering page by page.

Sprints

If Software Tables Filter by Projects, Boards, or Sprints is applied with “Filter by Issues” (default) Sprints filtration scheme is carried out as follows:

  1. Loading Projects Issues by filtered Projects.

  2. Loading Boards Issues by filtered Boards Configured Filters.

  3. Loading Sprints by Projects Issues.

  4. Loading Sprints by Boards Issues.

  5. Loading Sprints by filtered Sprints.

  6. All unique Sprints are combined into one list and are unloaded page by page.

If Software Tables Filter by Projects, Boards or Sprints is applied with “Filter by Parent Boards” Sprints, filtration scheme is carried out as follows:

  1. Loading Boards by filtered Projects.

  2. Loading Boards by filtered Boards.

  3. All unique Boards are combined into one list.

  4. Loading Sprints by unique parent Boards list.

  5. Loading Sprints by filtered Sprints.

  6. All unique Sprints are combined into one list and are displayed page by page.

If Software Tables Filter is not applied, Sprints are unloaded without filtering page by page.

Sprint Issues

If Software Tables Filter by Projects, Boards, or Sprints is applied with “Filter by Issues” (default) Sprints, the filtration scheme is carried out as follows:

  1. Loading Projects Issues by filtered Projects.

  2. Loading Boards Issues by filtered Boards Configured Filters.

  3. Loading Sprints Issues by filtered Sprints.

  4. All unique Issues are combined into one list.

  5. Loading Sprints associated with unique Issues list.

  6. All unique Issues are unloaded with the corresponding unique combination of Issue and Sprint page by page.

If Software Tables Filter by Projects, Boards, or Sprints is applied with “Filter by Parent Boards” Sprints, the filtration scheme is carried out as follows:

  1. Loading Boards by filtered Projects.

  2. Loading Boards by filtered Boards.

  3. All unique Boards are combined into one list.

  4. Loading Sprints by unique parent Boards list.

  5. Loading Sprints by filtered Sprints.

  6. All unique Sprints are combined into one list.

  7. Loading Issues by unique Sprints list.

  8. All unique Issues are combined into one list and are unloaded with the corresponding unique combination of Issue and Sprint page by page.

If Software Tables Filter is not applied, data is unloaded with filtering Issues by Basic filter values page by page.

If a Basic filter is not applied, data is unloaded without filtering page by page.

Board Charts and Sprint Report Charts

If Software Tables Filter is applied by Projects, Boards, or Sprints, Board Charts filtration scheme is carried out as follows:

  1. Loading Boards by filtered Projects.

  2. Loading Boards by filtered Boards.

  3. All unique Boards are combined into one list.

  4. Loading Boards Issues by filtered Boards Configured Filters.

  5. Loading Sprints by Issues.

  6. Unload filtered values Sprints for filtered Boards page by page. 

If Software Tables Filter is not applied, data is unloaded with filtering by Basic filter Boards values.

If a Basic filter is not applied, data is unloaded without filtering page by page.

For the Sprint Report Charts table the filtering scheme is similar.

How to View Export History

Option 1

  • Being signed in to your Jira instance, select Tableau, and then select Export History.

You will see the general export history of all data sources.

If you’re looking for a specific data source export, you can use one of the filters to quickly find it.

The following filters are available:

  • Data Source - This filter will return all export history entries with the specified data source(s) name(s).

  • Tables - This filter will return all export history entries that include the specified tables (e.g. Sprints, Issues, BoardCharts, and more).

  • Users - This filter will return all export history entries that were exported by a selected user or users.

  • Export Start Time - This filter will return all export history entries that started within the specified time interval.

  • Export End Time - This filter will return all export history entries that ended within the specified time interval.

  • Minimum Duration - This filter will return all export history entries with the defined minimum duration and higher.

  • Maximum Duration - This filter will return all export history entries with the defined maximum duration and lower.

The Data Sources Filter

For example, you want to view the export history for the data source with the name xray.

  1. In the Data Sources field, enter 1 or more characters.

  1. From the drop-down list with suggestions, select the required data source, and then select Apply filters.

In the result, you’ll see the specified data source only.

The Tables Filter

For example, you want to view the export history for the data sources that include the Issues tables.

  1. In the Tables field, enter 1 or more characters.

  1. From the drop-down list with suggestions, select the required table type, and then select Apply filters.

In the result, you’ll see the data sources with the specified tables only.

The User Filter

For example, you want to view data sources that were exported by a specific user or users.

  1. In the Users field, enter 1 or more characters.

  1. From the drop-down list with suggestions, select the required user, and then select Apply filters.

In the result, you’ll see the data sources that were exported by a specific user or users.

The Export Start Time Filter

For example, you want to view data sources for a specific period of time.

  • In the Export Start Time fields, specify the time, and then select Apply filters.

In the result, you’ll see the data sources which export start time matches the time you specified in the corresponding fields.

The Export End Time Filter

The Export End Time Filter works in the same way as the Export Start Time filter.

You can combine filters according to your specific needs.

Option 2

  1. Being signed in to your Jira instance, select Tableau, and then select Data Source.

  2. Select the data source you need, select three dots, and then select Export History.

You will get a list of exports related to a specific data source.
